Price the work plan your crew can actually follow
If a pressure washing or exterior painting estimate assumes continuous production for an entire summer shift, it can fail before the crew reaches the property. Setup, travel, protection, breaks, cleanup, and changing site conditions all occupy time. The estimate needs the work plan that will actually be used.
Texas is not one weather zone. As one relevant example for this blog's DFW focus, the National Weather Service's local climate narrative describes very hot summer conditions in North Texas. Use the forecast and conditions at the actual job address when scheduling; regional climate history cannot approve a shift.
Decide the appropriate heat-related work practices before calculating capacity. OSHA's heat guidance includes modifying work schedules, considering cooler parts of the day, and providing rest breaks. An estimate must accommodate that plan, not create pressure to skip it.
Keep production, paid time, and elapsed time separate
Production labor-hours are the person-hours allocated to the defined task. Budgeted paid crew-hours include the compensated time your labor-cost model must recover. Elapsed job time is the span between arrival and completion, potentially across several visits.
Those numbers can differ. A two-person team assigned a six-hour visit represents 12 person-hours of attendance. It does not automatically provide 12 person-hours of cleaning or coating. It also does not establish an appropriate heat-exposure schedule.
Build a simple task sheet for preparation, active application or cleaning, support tasks, and cleanup. Fit it into the work practices appropriate to the crew and conditions. Keep drying intervals and access delays visible in the calendar rather than pretending they are active labor.
A capacity example that does not prescribe a shift
For arithmetic only, suppose a defined outdoor scope requires 30 production labor-hours. Compare two hypothetical planning cases below. Their capacity assumptions are invented; neither is a safe-work schedule, a break recommendation, or a benchmark for Texas crews.

Case A uses 30 ÷ 10 = 3 visits. Case B uses 30 ÷ 6 = 5 visits. The production quantity is unchanged, but the second case needs two more visits. Add the actual support, travel, and compensated time required for each case before comparing costs.
Do not assume all nonproduction time is unpaid, and do not remove breaks to make the first case fit. If the appropriate work plan changes, the capacity calculation follows it.
Cost the extra visits without counting hours twice
Suppose an additional visit in your model carries $45 in crew travel and setup cost and $15 in vehicle cost. Two extra visits add 2 × ($45 + $15) = $120. These are illustrative amounts, not local rates, and they apply only if those costs have not already been included elsewhere.
The remaining labor budget still needs to reflect the total paid time in your selected work plan. An extra-visit allowance does not automatically cover that difference. Materials, equipment hire by the day, or other time-dependent costs may also change; check their actual terms.
There is no defensible universal “Texas heat percentage” to add to every job. A shaded short task, an exposed large surface, and a job with multiple drying intervals have different constraints. Record the reason for each allowance so you can revise it when the schedule changes.
Give the customer a clear next scheduling decision
Explain the planned sequence and how the next appointment will be confirmed. For example: “The estimate includes the listed work and planned visits. We will confirm working windows after reviewing site conditions and the crew work plan.” Add job-specific details instead of promising the same completion date in every proposal.
After completion, compare estimated production hours, actual production hours, total crew time, and visit count. Keep the task and surface type with those records. That lets you improve future estimates without treating a single difficult day as the new standard.
